How the numbers work
Each tier adds up the minutes one site takes in a month. Monitoring follow-up and support change from month to month, so the contingency is added to those two rows only. Hours times your labour cost, plus tool and storage cost per site, is the direct cost. The price is the direct cost divided by one minus your target margin.
- Labour cost, not your billable rate. Use what an hour of the work costs you: pay plus employment costs, or what you pay a contractor. A billable rate already includes overhead and profit, so using it here would count them twice.
- Margin on price, not markup. A 25 percent margin keeps 25 percent of the price after direct cost. On a direct cost of 65 that is a price of 86.67, while a 25 percent markup on cost would give 81.25.
- The margin pays for everything else. Account management, fixed software, payment fees, sales, admin and unbilled time all come out of it, along with your profit.
- Suggested price. The exact price rounded up to the nearest 5, so plans end on a clean number.
What to do with the result
Time the real work on a few sites of each kind for a month and replace the example minutes with what you measured. Then write down what each tier includes and excludes, how fast you respond, and what happens to backups and licences if a client leaves. Review the prices after about three months of real use. If support or incidents take more time than you planned, raise the contingency or the minutes rather than absorbing the difference.
Questions about the calculator
Are the default numbers typical care plan prices?
No. They are example values chosen to show the method, not market data. Replace every number with your own time, costs and margin.
Is anything I type saved or sent anywhere?
No. The calculator runs in your browser. Your numbers are only kept in the page address, so you can copy the link and open the same price sheet later.
Why does the contingency only apply to monitoring and support?
Updates, reports and planned tests take about the same time each month. Monitoring follow-up and support depend on what goes wrong and what clients ask for, so they are the parts that need a buffer.
What is the effective hourly rate?
The price divided by the hours a site takes. It shows what each hour of care plan work brings in before overhead, so you can compare it with your project rate.
What does the portfolio check tell me?
How much monthly revenue and margin a mix of sites brings in, and how many hours it needs. If the hours come close to or go past the time you have, the calculator warns you before you sell more plans.
